How to Use Google Calendar

Google Calendar is a free tool that helps you organise your schedule, keep track of appointments, and set reminders.

1. Accessing Google Calendar

  • On a computer: Go to calendar.google.com and sign in with your Google account.

  • On a phone or tablet: Download the Google Calendar app from the App Store (Apple) or Google Play Store (Android) and sign in.

2. Viewing Your Calendar

You can see your calendar in different formats:

  • Day – view one day at a time

  • Week – see your week at a glance

  • Month – overview of the whole month

  • Agenda – a list of upcoming events

Switch views using the buttons at the top right (web) or from the menu (app).

3. Adding an Event

  1. Click the + Create button (web) or the + icon (app).

  2. Enter the event title (e.g. "Team Meeting" or "Doctor’s Appointment").

  3. Choose the date and time.

  4. Add extra details:

    • Location (if needed)

    • Description/notes

    • Guests (add their email address to send them an invite)

  5. Click Save (web) or Save / Done (app).

4. Editing or Deleting an Event

  • Edit: Click or tap the event, then select Edit (pencil icon).

  • Delete: Click or tap the event, then choose Delete / Remove.

5. Setting Reminders

When creating or editing an event, you can add a reminder (also called a notification). Choose how long before the event you want to be reminded (e.g. 10 minutes, 1 day).

6. Sharing Your Calendar

  • On the web: Go to Settings & sharing for your calendar, and choose who you want to share with.

  • You can give people permission to view only or make changes.

7. Syncing Across Devices

If you’re signed in with the same Google account, your calendar will update automatically on all devices.

8. Tips for Getting the Most Out of Google Calendar

  • Use colour-coding for different types of events (e.g. work, personal, family).

  • Create recurring events for things that happen regularly (e.g. weekly meetings, exercise sessions).

  • Turn on email notifications for important events.
